Contract Creation & Activation

With FlowWise, tasks and notifications within the contract process can be managed automatically based on predefined events and conditions. This allows required process steps to be carried out in a defined sequence and ensures that responsible employees are involved at the appropriate stages. It helps leasing companies standardize contract processes and reduce manual coordination.

With DocWise, documents can be stored directly within LeaseWise workflows and assigned to the relevant customer, contract or process. Signed contract documents are therefore available for further processing without having to manage them separately across different storage locations. This simplifies documentation and ensures a clear and traceable contract record.

In general, the leasing company, as the lessor, remains the legal owner of the leased asset throughout the contract term. The lessee receives the right to use the asset in exchange for the agreed leasing payments. The allocation of economic ownership depends on the contractual arrangements. Clear documentation is therefore essential in leasing: LeaseWise links the customer, asset and contract from creation through to activation.

Digital contract creation provides a consistent data foundation throughout the quotation, contract and activation processes. Leasing companies can reuse existing information, process contract documents digitally and initiate subsequent steps through the system. This reduces manual data transfers between systems and enables more standardized and transparent contract management.

Contract activation marks the transition from a prepared leasing contract to an active contract. In LeaseWise, the actual vehicle investment and contract investment are compared, and any differences are taken into account. Vehicle tax can also be recalculated based on the final vehicle data. This ensures that the relevant contract and financial information reflects the final vehicle details when the active leasing contract begins.

Once the required contract steps have been completed, the vehicle order can be sent directly from LeaseWise to the supplier – either by email or through the integrated ORD interface. This keeps the contract and ordering processes connected and allows relevant vehicle and contract data to be reused for the order. The order status can be viewed directly in LeaseWise at any time.

A leasing contract is activated once all information and final vehicle data required to start the contract are available. In LeaseWise, the actual vehicle and contract investments are compared, and relevant values are updated based on the final data. The contract can then be managed as an active leasing contract.

LeaseWise supports the digital signing of contract documents through its integration with Scrive. Depending on the method used, digital identification solutions such as iDIN or itsme can also be integrated. Signed documents can then be automatically stored in DocWise and linked to the relevant contract record.

In LeaseWise, a leasing contract is created based on an approved quotation. Existing customer, vehicle and calculation data can be transferred directly, eliminating the need to enter the same information again. The contract then goes through all subsequent steps until activation.
